eBay Refresh Preferences

The eBay Refresh Preferences are set by going to the File Menu and selecting Setup and then eBay Refresh Preferences.

To the right is the eBay Refresh Preferences setup screen

Each setting is explained below

eBay Seller List Refresh Period This setting determines how many days worth of data AuctionSage will retrieve.

The available settings are 2, 7, 14, and 30.

  • If you are a high volume seller (1000+ per week) a 7 day setting is recommended.
  • If you are a low volume seller (< 100 per week) then 30 day setting is recommended.
  • If you are a super-high volume seller (1000+ per day) a 2 day setting is recommended.

If you have a refresh setting of 2 days and you are away for 3 days it will not pick up items that ended 3 days ago.

Access Reserve Price Information This setting determines whether AuctionSage will access individual auction pages to determine if reserve was met or not. Naturally this slows down refreshing data and so there are options
  • Never - If you do not run reserve auctions this is the recommended setting. AS will not access individual auction pages to retrieve reserve information (reserve met, reserve not met)
  • When Auction Ends - With this setting AS will access each auction page on auction end to see if reserve was met or not.
  • Every Time an item gets a bid - With this setting AS will access individual auction pages every time an item receives a bid.

Any setting other than "Never" slows down refresh.

The best thing to do if you run reserve auctions is to enter the reserve price in the reserve column in the Current & Recent data spreadsheet and check Never for this setting. Then AS will simply compare the current bid to the amount you entered as the reserve in order to determine if reserve was met or not.

All My Store/Fixed Price Listings are Quantity 1 only If you run stores and have quantities more than 1 in any of your stores then you need to make sure this preference in unchecked. The reason for this is eBay makes no indication in your seller list if a sale was made on a store with quantity more than one.

With this preference unchecked, AS will access each store page during refresh to pick up any new sales.

If all your stores have quantity 1 then check this preference. This would provide the fastest refresh since AS will only access the store page when a sale is made.

Auto-Refresh Interval

This sets how long AS will wait (in minutes) between refreshes when the Auto-Refresh Button is depressed

Once Auto-Refresh is enabled, all functions are disabled so you don't disturb the data while it is being refreshed. You will see on the bottom of the screen a count down to the next refresh. To turn off Auto-Refresh just click the Auto-Refresh button again

Sign In for Adult Auctions If you list items in adult categories check this box so AS can retrieve data for those auctions. An additional sign in is required to view adult items
Do Not Retrieve Store/Fixed Price Sales over XX days old This preference sets whether AS will pick up old sales on multi-quantity store/fixed price listings. This is useful for those who run GTC store listings where a bug on eBay as well as the fact that users change their UserID on occasion will cause old sales to reappear on refresh. With this setting it prevents them from reappearing based on the number you enter. Minimum is 1 day and max is 365.

Checkout Details Preference This sets whether AuctionSage will pick up the buyer's address as well as the shipping charge, insurance and sales tax (if applicable) on auction end. Optionally you can check the preference to NOT retrieve insurance charge. The reason for this preference is the insurance charge will show up even if it is optional and the buyer hasn't chosen to have insurance. For this reason I suggest insurance either be included in S&H or be required. Optional just adds more opportunity for misunderstanding.
Update eBayvars Data eBayvars data is a special datafile used by AuctionSage system to handle changes made on eBay pages. It allows AS to handle changes made on eBay without requiring you to download a new version.

Normally eBayvars.dat is updated automatically but occasionally you may see a bulletin on the news page to "Update eBayvars Data". If you see that it means to click this button and AuctionSage will download the latest eBayvars.dat file
