Overview

This feature allows you to send emails by direct connection to your mail server, bypassing your email client. This eliminates any MAPI issues and also allows for HTML formatted emails! SMTP (Simple Mail Transfer Protocol) is a TCP/IP protocol used in sending and receiving e-mail.

Operation

Go to File - Setup - SMTP Email Setup

Server Settings

Enter your SMTP mail server address, ie: smtp.comcast.net or smtp.gmail.com. If you don't know your server settings check the settings in your email client or contact your isp.

Anyone can setup a gmail account and use the gmail smtp server

Enter your email account username (usually your email address) and password. Again, check your email client settings if you don't know what your username or password is or contact your ISP

If your mail server requires an SSL (Secure Socket Layer) connection check that preference. Most mail servers do not. The smtp.gmail.com server does.

Server Port - 25 by default but recently comcast.net changed their mail server to port 587. Contact your ISP if 25 or 587 won't work

Server Timeout (secs) - Set to how long it should wait for the mail server to reply. Default is 30 seconds.

 

Other Settings

Reply Name: Optional. This is the name the recipient will see when receiving your emails. If no reply name is entered they see your email address.

Reply Email Address: This is the address the user will reply to. On some servers it can be different than the address you login with. On gmail.com it is automatically set to your gmail account email address.

BCC Email Address: Optional. If you would like all your emails to be BCCed (Blind Carbon Copy) to you so you have a copy of the email enter the email address you want them to be sent to.

Send Emails via SMTP: If checked all your emails are sent via SMTP. If unchecked emails are sent via MAPI. To send HTML formatted emails you must use SMTP. You aren't required to send HTML formatted emails when using SMTP however.

Send Emails in HTML format: If checked emails are sent in HTML format. Otherwise they are sent in plain text.

Tracking Link Text: This is the text that will appear next to a clickable link when a tracking number is present and you use the <TRACKINGLINK> template code.

While you are testing this feature you will want to preview emails before sending them. To do this go to general preferences and scroll down to the email prefs section and check the box to "Show email client window" and click apply. With this pref set an SMTP email client window will appear where you can preview emails before sending.
