Spreadsheet Features & Functionality
An effective tool of AuctionSage is it's ability to unclutter your data by organizing it by status. Maintaining separate status folders for each status is further enhanced by the ability to rearrange the columns in the spreadsheet separately for each status. By customizing the layout of the spreadsheet for each status folder you are able to view the most pertinent information for each status at a glance.
What follows is an explanation of using the spreadsheet and how you can change it's appearance. Remember, for each status you can have a different layout of the data.
Move the mouse pointer over the divider area between column headers and double click. When auto-resized a column is as wide as necessary to display the widest entry in that column.
Move the mouse pointer over the divider area between column headers, press and hold the left mouse button, then move the mouse left or right to resize width. Release button when when the width is what you want it to be.
If you resize a column width to where it is practically invisible you will be asked if you want to hide the column permanently. Answer Yes and that column will be hidden permanently.
You can always restore default column widths to bring back any hidden columns
To restore all column widths to their default settings go to the File Menu and select Setup and then select "Restore Default Column Widths"
Each status folder can have the columns rearranged in a way that is most useful for that status.
To move a column to a different position move the mouse pointer over the column header for the column you wish to move. Click and hold the left mouse button. Then move the mouse left or right past adjacent columns. Then release the mouse button.
Current & Recent folder Auto-Sort Options
Auto-sorting occurs in the Current & Recent data folder after refreshing data.
- End Status - Puts winning items at top sorted by userid for easy processing
- Auction End Date - ascending or descending order
- Current Bid - sorts by current bid with highest bid on top
- Disable Auto-Sort - disables auto-sorting
Status folder auto-sorting occurs each time you load a status folder other than Current & Recent
- Invoice Number - ascending or descending order
- Status Date - ascending or descending order
- Auction End Date - ascending or descending order
- Disable Status Sorting - disables auto-sort on status folders
You may select items in the spreadsheet in two ways
To select a range of items click on the first item then press and hold the Shift key and click on the last item in the range of items you wish to select
To select individual items press and hold the Ctrl key and then click on the individual items you wish to select
Select the items you want to delete and click the delete button.
Most fields in the spreadsheet can be edited. Some cannot (item number, end date, and a few others)
- Click on an item in the spreadsheet.
- Scroll to the field you wish to edit using arrow keys or tab key. Or just click on the field you wish to edit
- To overwrite what is in a field just begin typing once the field is highlighted
- To edit the field press enter to go into edit mode and then you can edit the existing data
- To cancel any changes you make while editing and restore the field to it's previous contents press the ESC key
Sometimes you may wish to edit a single field for mutiple items. For example, you may wish to enter a shipping charge or insurance charge or commission on multiple items. You can edit them all at once by doing as follows:
- Click on the first item you wish to edit and on the field you wish to edit
- Now select the other items you wish to edit
- Type whatever data you wish to be applied to all selected items and in the field you originally clicked on.
- Press Enter
- You will be asked to confirm that you wish to mass edit selected items

Double-Click on the UserID of the buyer in the spreadsheet.
If you wish to change the column alignment for a column right click on the column header and choose the new alignment
Frozen columns remain visible while scrolling horizontally through the column data in the spreadsheet. Frozen columns have a light pastel blue background color.
To adjust which columns are frozen:
The frozen columns setting is retained and is customizable for each status folder.
